Local Unit & Position Description

As HR Data Administrator you will support the HR Director in collating, analysing & reporting Regional HR information, and will provide Regional Management team with reliable data which identifies progress against HR related activities, milestones and projects, thereby helping the Region achieve mandatory milestones together with key quarterly and yearly activities.


You will be responsible to ensure the HR System accurately reflects the Regional structure by being the first port of call for any changes and submitting them to GSS.


There will also be some ad hoc HR admin support you will provide to colleagues with processes/procedures queries.


Key Accountabilities:

  • Data support during yearly, quarterly, monthly HR activities, liaising with Regional management and other senior managers providing updates, checking information, collating statistics and producing Regional information i.e. graphs, tables etc.:
    • Salary review analysis, applying benchmark data and tracking and monitor available spend vs targets
    • People Engagement Survey (PEP) – checking Regional hierarchy and reporting levels
    • Succession Planning – preparation of documentation
    • Training requirements – collating information across the region
    • Performance Management, monitoring completion activities and calibration of performance ratings
    • Turnover analysis and reporting
    • Absence analysis and reporting
    • Quarterly business review information – running reports, data gathering
    • Headcount vs target headcount – liaising with finance ensuring figures align, analysing and reporting
    • Recruitment activity – liaising with GSS team to report on vacancies filled etc.
    • Health and Safety Mandatory training – monitoring progress
  • Provide high level administrative support:
    • Liaising with GSS to ensure that all administrative activities are conducted in an accurate timely manner e.g. correspondence relating to changing T&Cs, processing of leavers etc.
    • Regular review of Partner HR system to ensure accurately reflects Regional structure, liaising with appropriate teams to ensure information is updated.
    • Other ad-hoc HR admin projects as and when required

Position Qualifications

  • Confidential, able to handle private and sensitive information with absolute discretion
  • High level of accuracy and numeracy with high attention to detail
  • Able to work to strict deadlines prioritising work 
  • Flexible approach and the ability to act on initiative and to stay calm under pressure
  • Highly Proficient on MS Office i.e. word, excel, powerpoint including graphs, pivot tables etc.
  • Accurate and fast data input skills
  • Delivery focused – ability to prioritise work, deliver projects to time, quality and cost
  • Strong verbal and written communication skills
  • Innovative thinking. Willing to challenge established norms where benefits can be seen.
  • Team player, capable of working cooperatively with colleagues, with a positive ‘can do’ attitude

Highly desirable

  • Experience of working within HR function collating information/analysing data and producing impactful information
