  • Local Unit & Position Description

    The Administrative Asisstant is responsible for supporting the strong growth of Energy Advisory services in Turkey. This position is responsible for providing local business support to Turkish Office as well as undertaking various office administration tasks in the Turkish Office. The level of the position will be commensurate with the level of experience.


    Key tasks:


    • Reception duties: incoming mail/phones, greet visitors/courier services, parking reservations, distribute incoming faxes, office related shipping support, etc.;
    • Support, manage visitor, manager and engineers' travel arrangements;
    • Oversee management of all office equipment, including local vendor management and maintenance;
    • Undertaking job administration duties including client information creation in the relevant systems, undertaking support duties given by financial team and manegres, invoicing clients, following up debts and sending reminders;
    • Purchase of office supplies, furniture, office equipment needs (including ergonomic equipment);
    • Oversee all facilities management and stand as the Office building representative;
    • Order food for meetings and maintain restaurant/catering accounts;
    • Responsible for group presentations, WebEx video and/or telephone conference set-up, Skype, arranging both in-house and external events including conferances etc.;
    • Direct employees on how to order business cards;
    • Ensure office maintenance and order, including supply room and kitchen;
    • Filling, copying, scanning, editing documents, attending meetings, taking minutes and keeping notes;etc.
    • Maintenance of copier email lists, restocking paper, toner, recycling;
    • Mailing coordination and management of shipping accounts (Intergolobal Cargo, etc.);
    • Maintenance of office library, electronic library, magazine subscriptions, archiving;
    • Support organization of birthday, anniversary, annual holiday party and other local events;
    • Other duties assigned, as needed.

    Position Qualifications

    • A university degree on business administration, international relations, accounting, administration etc would be required;
    • Experience in a similar role would be desirable but not essential. Training will be given on the job.
    • Proficient in MS Office programs (Outlook, Word, Excel, PowerPoint) and able to learn new software;
    • Fluency in both written and oral communication in English and Turkish.
