Local Unit & Position Description

DNV GL is seeking to hire a dynamic and proactive Battery Test Lab Sales Coordinator & Office Administrator based in our Rochester, NY battery test lab to aid with commercial tasks to support energy storage testing projects; offer business development and project management support to the DNV GL staff; and assist with key administrative and office management duties. The candidate will work at the lab, with occasional travel primarily to attend conferences and meet with customers.

 

This position will report to the Senior Business Developer. The successful candidate will work with the Senior Business Developer, the Lab Manager, and colleagues across DNV GL to communicate with customers, prepare proposals, and implement other commercial strategies, with the aims of growing revenue, driving innovation, and selling work that brings high value to customers and other industry stakeholders. This position will also support the Lab Manager with various administrative tasks to foster efficient operations at the lab.

 

Essential responsibilities will be divided between business development activities and project management support (approximately 3/4 of time) and general office administration (approximately 1/4 of time), as further described below. We encourage applications from people that have the ability to learn without necessarily having prior experience in all of the areas.

 

 

Sales and Project Management Support

  • Provide support with proposals and bids – initial drafting of proposals using MS Word templates, project references, contractual requirements, preparation of letters of transmittal, managing portal access for submissions, personalizing business development presentations, etc.
  • Coordinate with engineering and operations teams in proposal development to ensure proposals are of high quality and executable
  • Help compile and assess market intelligence, industry trends, and relevant customer information for business development purposes, such as by conducting customer phone or email surveys
  • Obtain supplier quotes, equipment and labor estimates and conduct price calculations
  • Represent DNV GL at conferences and events and support lead-generation
  • Prepare and distribute monitoring reports for project-level accounting in coordination with project managers, and support invoice preparation and tracing of accounts receivable
  • Support technical team with upkeep and formatting of marketing materials and website content
  • Provide support for conference preparations including logistics, administrative assistance in preparing thought leadership presentations, papers, and posters, meeting organization, etc.
  • Participation on customer calls related to business development and active projects
  • Documentation management – executing data downloads from clients’ FTP sites / data rooms, internal document filing and organization, distribution to and communication with internal technical teams

 

General Office Administration

  • General reception duties: incoming mail/phones, greet visitors/courier services, office related shipping support, monitoring shipping area, building key cards, alarm system management, phone system management, etc.
  • Support visitor travel arrangements
  • Oversee management of all office equipment, including local vendor management and maintenance
  • Purchase of office supplies, furniture, office equipment needs (including ergonomic equipment)
  • Coordinate and participate actively in office meetings
  • Ensure office maintenance and order, including supply room and kitchen, (assist in maintaining inventory and organization of HSE equipment)
  • Filing, copying, scanning, editing documents, notes transcription, archiving, etc.
  • Support for miscellaneous IT and ISO-compliance related tasks for all team members
  • Other duties assigned, as needed

Position Qualifications

Position Qualifications:

  • Associate Degree in technical, business, administrative, liberal arts or related field with minimum of 5 years of relevant applicable experience required
  • Bachelor’s degree in technical, business, administrative or liberal arts field preferred
  • At least 2 years of sales support, office administration or project management experience required
  • Passion for contributing solutions to climate change, renewable energy, and environment/sustainability will be highly regarded
  • Strong written and verbal English language skills
  • Excellent skills in MS Office programs (Outlook, Word, Excel, PowerPoint), and able to learn new, internal business development and project management software
  • Self-starter, hands-on can-do personality, takes initiative and ownership, eager to learn new things
  • Excellent organizational skills and attention to detail
  • High level of integrity and confidentiality
  • Business-savvy mindset with bias to action
  • Customer service mindset and approach with good communication and listening skills
